Part-time Membership and Database Manager (Telecommute) - EBA


As part-time Membership and Database Manager for the Energy Bar Association (EBA), you will primarily work from home and design your work schedule. Reporting to the chief executive officer (CEO), your goal will be to increase and retain membership. You will be responsible for our annual membership renewal campaign and you will work closely with marketing on the messaging and timing. Your ability to understand and analyze data will be vital to our marketing and membership efforts.


As our go-to association management system (AMS) expert, you will ensure that information is accurate, up to date, and accessible. You will put processes in place so that reports and lists can be run routinely and information provided to members with little effort. Your excellent customer service skills will be vital in interacting with potential and existing members via phone and email, responding to member-related inquiries, processing membership applications, invoices, journal subscriptions, registration, etc. Here, your professionalism, attention to details, and member-focus will be highly valued.  



EBA is an international, non-profit association of attorneys, energy professionals, and students active in all areas of energy law. EBA has seven regional chapters across the U.S. and an increasing number of members in Canada and Mexico.


We host numerous educational seminars, including two national conferences per year. Our educational programming covers all facets of energy law (electricity reliability, oil pipeline regulations, renewable energy, environmental law, etc.). Many of our programs are approved for continuing legal education (CLE) credits which our members need to stay current. In addition to programming, EBA members rely on us to provide valuable opportunities for networking. Our lunches, receptions, and dinner programs allow our members to meet and share their expertise. 

Responsibilities of the Membership and Database Manager

Membership Database Administration

  • Effectively collect, store, and update data in the AMS and maintain data integrity and security. Manage database updates, maintenance, and modifications to best serve EBA needs.
  • Input, process, and track all membership applications and renewal activities.
  • Lead data queries for regular reports including membership dues renewals, member subscription lists, certification renewals, monthly new member and recruitment reports, product sales, etc.; coordinate with staff and contractors as needed. Provide data queries for special projects as needed.
  • Develop and maintain standard operating procedures for maintaining EBA membership database.
  • Manage distribution lists for specified communications and journals.
  • Provide monthly and yearly statistical reports and ad-hoc reports as needed.

IT and Financial Administration

  • Reconcile electronic transactions, investigate discrepancies, and process refunds as needed.
  • Run monthly batch.

Meeting and Event Registration

  • Serve as database/registrar troubleshooter.
  • Serve as primary registrar for meetings. Manage all aspects of on-site registration at Annual Meeting and Mid-Year meeting, including staff.
  • Provide excellent customer service while troubleshooting and providing technical support to members and volunteers.
  • Assist with onsite registration and payment processing for other meetings as needed.
  • Travel as required (light).


Qualifications of the Membership and Database Manager

  • 5+ years’ experience with customer relationship management (CRM) or association management system (AMS) databases and data analytics (Abila/Netforum a plus).
  • Bachelor’s degree required.
  • Experience with MS Office (excellent Excel skills) required.
  • Ability to troubleshoot problems and train others on the use of the database.
  • Excellent interpersonal skills and written communication skills; exemplary telephone manners.
  • Experience providing and analyzing membership data and recommending marketing strategies for increasing and retaining members.
  • Ability to work independently, as well as a member of a team, with an approach that is flexible, eager, and friendly.
  • Association/non-profit experience a plus.

  • As long as you are able to meet in D.C. for occasional internal meetings and events, you will have the flexibility to work remotely most of the time.
  • This is a part-time position and for the most part, you can make your own schedule. There will be times that require additional hours during busy times and fewer hours during slower times (summer time is typically less busy).
