Accounts Receivable Assistant

The Accounts Receivable Assistant provides support and administrative services to the Finance and Accounting department, primarily working with the Accounting Supervisor. Work involves confidential information and will require discretion.

Responsibilities as the Accounts Receivable Assistant

  • Processes postage received in ProSIS, and ensures account manager is notified
  • Prepares and updates postage summaries with cash receipts and disbursements
  • Maintains postage escrow reconciliation with daily activities
  • Processes all deposits via remote scanner
  • Processes cash receipts in Sage 100
  • Assists with finalizing and distributing PS/PSD client billings and postage reconciliations 
  • Assists with monthly AR reconciliation
  • Prepares weekly PSI Group commingled postage invoices for payment by AP Specialist
  • Prepares and posts journal entries in Sage 100 to record postage activities
  • Reconciles bank accounts as assigned and other duties as required

The Accounts Receivable Assistant must be able to work in a fast-paced environment with demonstrated ability to prioritize multiple, competing tasks and demands, and to seek supervisory assistance as appropriate. As a representative of the company, the Accounts Receivable Assistant should conduct themselves in a professional manner at company/industry affiliated functions.   Must be dependable, reporting to work at the scheduled time and seldom absent from work.  The Accounts Receivable Assistant can be depended upon to complete work in a timely, accurate, and thorough manner, and is conscientious about assignments.  Must be able to work effectively and relates well with others including managers, colleagues, and individuals inside and outside the Company. 


Qualifications of the Accounts Receivable Assistant

  • High school diploma or equivalent; Associates degree in accounting or business management; minimum 3 years prior accounting/finance experience in a business setting with exposure to financial and confidential duties; or equivalent combination of education and experience.
  • Intermediate to advanced-level computer skills including Windows-based applications (MS Office Suite) and supplemental machinery including printers, scanners, fax machines, and copiers.
  • Proficient in Excel
  • Strong customer service skills with the ability to work in a team environment and foster positive and collaborative work habits.
  • Strong problem solving and analytical skills with high level of attention to detail.
  • Strong verbal and written communication skills.
  • Must be able to work independently with ability to manage multiple tasks.
  • Must work onsite in a fast-paced environment during office hours (no telecommuting privileges available for this position). 

Physical Demands and Work Environment:

  • Work requires correctable vision, depth perception, eye-hand coordination and manual dexterity sufficient to operate computer terminal, telephone and office equipment for long periods of time.
  • The noise level in the work environment is usually moderate.
  • Ability to hear and speak English language clearly and concisely for heavy telephone contact.
  • Involves frequent contact with staff, clients and the public.
  • Work involves frequent change in activities and priorities.
  • Occasional overtime required.
