In addition to your strong administrative skills, your success will be defined by your ability to understand the policy issues we work with, to write well, to edit meticulously, to prioritize and manage a diverse flow of work, to anticipate the needs of other people, to be organized and to communicate well with internal and external stakeholders.  In addition to normal administrative duties, you will spend a considerable amount of time drafting and proofing correspondence, talking with mortgage regulators, industry and other parties, and working in our internal iMIS contacts database.

 

 

Organization Overview

 

A strong state mortgage banking regulatory system ensures legitimate lending practices, provides vital consumer protections, and instills confidence in both consumers and investors in the housing market.  Established in 1902, Conference of State Bank Supervisors (CSBS) is the nation’s leading advocate for the state banking system. In 2003, long before the current banking crisis, CSBS brought together an industry-wide coalition of state mortgage regulators, lenders, brokers and technology companies to lay the groundwork for a uniform mortgage application and nationwide repository of licensed entities.  On September 29, 2006, they established the State Regulatory Registry LLC (SRR) that operates the Nationwide Mortgage Licensing System (NMLS) for state regulators.  Finally, in July 2008, Congress passed the SAFE Mortgage Licensing Act (“Secure and Fair Enforcement for Mortgage Licensing Act”), requiring all residential mortgage loan originators to be either state-licensed or federally registered through NMLS.

 

 

Responsibilities as the Administrative Assistant:


In this role as Administrative Assistant you will:

  • Provide general administrative support including scheduling meetings, travel arrangements, typing, filing, triaging incoming calls, arranging conference calls, data entry, reports, and copying.
  • Coordinate and organize key meetings (Mortgage Task Force and others) to include meeting location, hotels, restaurants, travel arrangements, audio visual logistics and meeting materials.
  • Draft correspondence for staff members and processes routine correspondence not requiring the attention of senior staff members of the Mortgage Division.
  • Respond to numerous requests for information received via phone or email from CSBS members, banking departments, law firms, federal agencies, trade associations, and other industries relating to mortgage issues. 
  • Provide reception desk coverage on a rotating basis, for lunch coverage, during absences, and as needed.
  • Conduct a variety of research efforts either in response to a request for information or on an ongoing basis to provide current information to Division members.
  • Coordinate with vendors for printing and production of publications and marketing materials and ordering office supplies.
  • Support special projects within the Division as assigned.

 

Experience and Requirements of a Successful Administrative Assistant:

  • 3-5 years of administrative support, preferably some experience supporting multiple departments/supervisors.
  • Strong writing, editing and proofreading experience in a business environment.
  • Associates or Bachelors degree a plus.
  • Proficient in Microsoft Office Suite, experience with Adobe Acrobat a plus.
  • iMIS or other relational database experience preferred.

  • Great communicator.  You have excellent oral and written communication.
  • Organized. You can manage both consistent/recurring timelines and deadlines, as well as manage a regular flow of items that can be both urgent and important, but not necessarily in sync with other deadlines and responsibilities.
  • Analytical.  Highly organized and thoughtful in approach, analytical with the ability to make good decisions.
